Production Coordinator

TrueSense Marketing is a full-service direct marketing agency committed to building strong donor relationships, enhancing the donor experience, and creating the conditions for greater generosity.

We are seeking a Production Coordinator who will coordinate all activities associated with direct mail production to ensure that all client specifications are met and all agency recommendations are carried out in the printing/processing and production of all direct mail activities. 

Essential Functions:

  • Review approved strategy and job instructions received from Account Coordinator and translate into the data base.
  • Follow up on mail counts from Data, input inventory matrix and follow up on materials ordered.
  • Manage letter set-up process with Agency Data Processing rep.
  • Work in conjunction with Account Coordinator to ensure all relevant treasurer file or other variable data files are updated in accordance with jobs that are in process.
  • Keep all job data updated in the data base, print work tickets, provide mock-ups, etc.
  • Review all sign offs in accordance with check list.
  • Alert account team to any production changes that may affect mail date.
  • Quality check all insertion samples, verify counts, dates, permits etc.
  • Collaborate with account team regularly to establish job specs and review plans.
  • Prepare for and attend daily production update meeting to ensure all jobs and processes are on schedule.

Position Requirements (Knowledge, Skills and Abilities):

  • Communication - Demonstrates excellent use of the English language (grammar, syntax, vocabulary); possesses the ability to communicate effectively and continuously with internal as well as external customers; composes clear/complete emails.
  • Computer Proficiency - Strong computer skills including all Microsoft products (Outlook; Excel; Word; PowerPoint)
  • Job Specific Programs as Applicable: Workzone; Adobe PDF; Printstream; Onyx.

  • Customer Service - Anticipates the needs of others as well as clients, acts upon those needs appropriately, and help remove barriers to excellent customer service.
  • Industry Knowledge – knowledge and understanding of direct mail, direct-response best practices, strategy, and tactics.

Education and Experience:

  • Prior production floor experience preferred;
  • Direct mail experience preferred
  • At least one year in a professional work environment preferred.
